Tracking Recurring Contract

In many cases, you can have recurring contracts with revenues on a regular basis, such as web hosting, managed services contracts, monthly blocks etc.

To create these types of contracts in Commit, create a monthly/periodic contract i.e. with an end date at the end of this month, etc., and then copy it to the new period (i.e. next month, etc.).

 

You start by creating a Contract for the first period of time (e.g. a Monthly block of Money).

When the Month is about to end, you should review all contracts which are about to expire and renew them. This is done using the Batch Copy Contracts wizard.

 

1. On the left pane, select the Contracts icon - this will display the main Contract window, which displays all the contracts for all of the Accounts.

2. Go to the Contracts menu > Batch copy Contracts for New Date Range option.

If you do not have any Contracts which are about to expire in the period which is selected ("This Month" in the window above), then the list will be empty. This way you can view only the Contracts which are actually about to expire and require renewal. You can manually select which Contracts to copy (un-check those who you do not wish to copy/renew, e.g. if the customer is not active anymore).

 
This will let you create many new Contracts for the next date ranges at once. This option helps you manage all the recurring Contracts at once for a certain period of Time.
 

Tip: You may add a recurring monthly Task with a reminder to run the Batch Copy Wizard and check which Contracts are about to expire this Month.
