Is there a way to get alerted when a contract is out of time/money.
I know it alerts the technician when he puts a charge in but they are in the field and i would have to count on 14 people to remember to tell billing. Is there something that we can set that would notify billing to contact customer/update contract. thanks |

Thank you for posting this.
Currently there are no additional alerts about over-used Contracts except the information message when adding charges. You could generate Contract List by Type and Expiration report and review Contract balance. The report can be filtered for active Block of Money/Time Contracts. We will take a note on this. |

The default for billable flag is set by Contract type. The system doesn't change it automatically when extra time/money is entered as sometimes the charge should be split and only part of the charge should be billable, so you should mark the charge as billable manually.

It would be really nice if they were split automatically. I just realized that we had several block of time contracts go over and we just ended up giving free time away. It's quite a bit of work to go back and have to try and readjust them to make it work out correctly, so we just ended up giving it away. What is the solution? Do we have to have all the tech's split their charges when that happens and check on the contract ahead of time?

The system doesn't split the charge automatically and it should be done manually by the user. The system does warn the user if the contract block is already over used or will be exceeded after saving the charge. Then the user may reduce hours amount and add additional charges under the same contract as Billable or under another contract (if exists for the customer) .
